The basics
- What is fleetchart?
- fleetchart is trucking software that turns the documents your loads already generate into a current financial picture — what a mile costs you, what you cleared after expenses, how long each broker takes to pay, and every document filed against the load it came from. You send the paperwork; it does the arithmetic.
- Who is it for?
- US carriers of any size — from an owner-operator running a single truck to a fleet running hundreds. The arithmetic does not change with the truck count; only the volume of paperwork does, and that is the part fleetchart handles.
- How is this different from a TMS?
- A transportation management system is built to move freight — dispatching, tracking, load management. fleetchart is built to tell you whether moving that freight made money. A TMS tells you where your trucks are; fleetchart tells you whether they are earning. Some carriers run both; many smaller operations do not need a full TMS but badly need this.
- Is this an accounting package?
- No. It is a load-level financial record that produces reports your accountant can work from. It does not replace bookkeeping software or a professional preparer, and nothing on this site is tax advice.
- Does it work out my taxes?
- Not inside the application. fleetchart keeps your costs categorised and your documents filed, which is the raw material a return is built from, but it does not compute a tax position or file anything. The calculators on this site will estimate quarterly self-employment and income tax from figures you supply, as a planning aid. Confirm anything that matters with a qualified tax professional.
Getting started
- What do I need to start?
- Your truck details and whatever paperwork you have. There is no integration project and no data migration — you can start by uploading last week's rate cons and see numbers immediately.
- Do my drivers have to change how they work?
- Drivers get their own accounts scoped to their assigned truck, and they never see financial fields. They can create loads from a rate confirmation PDF and upload the documents a load generates — BOLs, PODs, lumper receipts — against it.
- Which documents can it read?
- Automatic extraction currently covers rate confirmation PDFs only, and that is what builds a load for you. Bills of lading, proofs of delivery, lumper receipts, fuel and repair receipts are uploaded, stored and linked to the load or expense they belong to — but you enter their amounts yourself. Receipt extraction is on the roadmap and is not built yet.
- Does it integrate with my TMS or ELD?
- Integrations are being built rather than finished. Tell us what you run and we will tell you honestly where it sits — we would rather say not yet than say yes and disappoint you at onboarding.
Accuracy and control
- How accurate is the extraction?
- Accurate enough to be worth using and not accurate enough to be trusted blindly, which is why every parsed document is presented for review before it is committed. Fields the model is unsure about are flagged rather than guessed. We do not publish an accuracy percentage because we have not measured one in a way we would be willing to defend.
- What happens if it gets something wrong?
- You correct it, and the correction stands. You have the final say on every number in your own records.
- Who can see my numbers?
- Access is scoped by role. Fleet owners see their team's data and nothing else. Dispatchers see only loads for trucks assigned to them. Drivers see their own loads with financial fields removed entirely.
- Can I get my data out?
- Yes. Reports and invoices export as PDF from the application, and a full copy of your loads, expenses and documents is available on request, including if you leave. The records are yours.
The service
- What does the dispatch service actually do?
- Finds and books loads, negotiates rates and detention terms, handles rate cons and check calls, invoices brokers and chases payment. On that service the software is included at no extra cost and we charge 5% on the loads we book.
- Why is the software free with dispatch?
- Because when the same team books your freight and files your paperwork, the financial record is complete by construction rather than depending on someone remembering to upload things. Charging separately for the platform would work against the thing that makes it accurate.
- Can I switch between self-service and managed?
- In either direction, keeping all your data.
- How is my data secured?
- Encrypted in transit, role-scoped access, and team isolation enforced at the application layer so one carrier's records are not reachable from another's account. We do not sell data to anyone.
