The basics
- What is Fleetchart?
- Fleetchart is trucking software for owner-operators and small fleets. You upload the paperwork your loads already make (rate cons, receipts, fuel card statements), and it shows you what a mile costs you, what you kept after costs, which trucks and brokers make you money, and how long each broker takes to pay. Your documents stay filed with the load they came from.
- Is it spelled Fleetchart or fleet chart?
- One word: Fleetchart, at fleetchart.ai. Plenty of people write it as fleet chart or FleetChart, and they all mean this — the same trucking software, run by Devinity Solutions out of St. Petersburg, Florida.
- Who is it for?
- US carriers of any size, from an owner-operator with one truck to a fleet with hundreds. The math is the same at any size. Only the amount of paperwork changes, and that is the part Fleetchart handles.
- How is this different from a TMS?
- A TMS (transportation management system) helps you move freight: dispatching, tracking, managing loads. Fleetchart tells you whether moving that freight made you money. A TMS tells you where your trucks are. Fleetchart tells you whether they are earning. Some carriers use both. Many smaller fleets don't need a full TMS, but they badly need this.
- Is this an accounting package?
- No. Fleetchart tracks money load by load and gives your accountant reports they can work from. It does not replace bookkeeping software or a tax preparer, and nothing on this site is tax advice.
- Does it work out my taxes?
- No. Fleetchart keeps your costs sorted and your papers filed, which is what your tax return is built from, but it does not work out what you owe or file anything. For IFTA it builds a worksheet (miles and fuel by state, with anything odd flagged) that you can send to whoever files for you in one tap. The calculators on this site can estimate quarterly taxes from numbers you enter, as a planning aid. Check anything important with a tax professional.
Getting started
- What do I need to start?
- Your truck numbers and whatever paperwork you have. Nothing to install and nothing to move over. You can upload last week's rate cons and see numbers right away.
- Do my drivers have to change how they work?
- Drivers get their own login and only see their own loads and pay, never your money. They can add a load by uploading the rate con, and upload the papers a load makes (BOLs, PODs, lumper receipts) to it. Drivers can be paid by percentage, by the mile, by salary or by the hour.
- Which documents can it read?
- Right now Fleetchart reads rate con PDFs, and that is what fills in a load for you. BOLs, PODs, lumper receipts, fuel and repair receipts are uploaded and filed with the load or expense they belong to, but you type in their amounts yourself. The exception is fuel cards: EFS and Comdata statements come in on their own, each fill-up as a fuel expense.
- Does it work with my ELD?
- Motive, today. Connect it and you get the live map, detention proof from GPS and state miles for IFTA. On a different ELD? You can still use everything else — type the miles off your trip sheets.
- Does it work with my TMS?
- Not directly. Fleetchart does not connect to a TMS today. Tell us what you run and we will tell you honestly whether it fits.
Accuracy and control
- How accurate is the rate con reading?
- Good enough to be worth using, but not good enough to trust blindly. That is why Fleetchart shows you everything it read before saving it, and flags anything it isn't sure about instead of guessing. We don't publish an accuracy percentage, because we haven't measured one we could stand behind.
- What happens if it gets something wrong?
- You correct it, and the correction stands. You have the final say on every number in your own records.
- Who can see my numbers?
- Only the people you give a login, and each sees only what their job needs. Owners see their own fleet and nothing else. Dispatchers see loads for the trucks they work. Office staff do paperwork without seeing your money. Drivers see their own loads, with the money parts removed.
- Can I get my data out?
- Yes. Reports and invoices download as PDFs from the app, and you can ask us for a full copy of your loads, costs and documents at any time, including if you leave. Your records are yours.
Your team and your data
- Do my drivers, dispatchers and office staff get their own logins?
- Yes, on every plan, with no per-seat charge. Drivers see their own loads and their own pay. Dispatchers book and edit loads for the trucks they run, at their own rate. Office staff handle loads, invoices and paperwork without seeing payments, expenses or what anyone earns.
- Is my data safe? Do brokers see my rates?
- Brokers do not get a login to Fleetchart, so they cannot see your rates, costs or margins. Only the people you give a login can see your account, and each one sees only what their role allows. Data is encrypted in transit, and one carrier's records are kept apart from every other carrier's. We do not sell your information, and we do not sell or share your operational data. The only time a broker or factoring company sees a document is when you send it to them.
